Global Sharepoint Specialist

 

Functions:

  • Capacity Planning:
    •   Allocate and increase space on web applications, site collections.
    •   Notify stakeholders when thresholds are being reached.
    •   Manage charge out model for space usage.
    •   Plan for and allocate applicable space to second stage Recycle Bin.
  • Governance and Change Control:
    •   Set up and maintain environments for the testing of custom developed solutions.
    •   Document the procedure for getting custom solutions into the testing environment.
    •   Document the change control procedure for migrating solutions to QA and Production.
    •   Document the procedure for upgrading the farm (space).
    •   Communicate all procedures to stakeholders.
  • Reporting:
    •  Ensure admin / management tool is installed and maintained on the platform for reporting purposes.
    •  Supply reporting on a weekly / monthly / on demand basis to stakeholders as follows :
      •     Total list of sites on Production with URL, full site name and all Site Owners.
      •     Total count of site collections with total count of subsites in each.
      •     Total number of unique users on the platform (excluding All Authenticated Users).
      •     Total number of unique users per site collection.
      •     Total number of unique users per embedded site collection.
      •     Total amount of space used as a percentage of the available space.
      •     Total space used per site collection and per subsite in that collection.
      •     List of dormant sites per given time frame.
      •     Instant alert any time “All Authenticated Users” are added to a team site.
      •     List of Enterprise Features enabled per site.
      •     Access a user or group has across a site, or across the platform on a site, library and item level.
      •     User access changes over a certain time frame, ie: how did a user’s access change between 1 Jan and 28 Feb as well as who did it (audit requirement to demonstrate security).
      •     List of site, library and item deletions for a specified user.
    •  Allow Site Collection Administrators read only access to extract these reports once set up.

Database Management:

  •   Create web applications and SSP’s with direction from the SharePoint Architect.
  •   Creation of site collections and their databases and services if required.
  •   Ensure uptime target is maintained.
  •   Employ SQL Server failover clustering to ensure high availability.
  •   Perform regular drive defragmentation.
  •   Manage file sizes and disk space.
  •   Clean up log files when required.
  •   Balance loads to grow the databases as necessary (without impeding performance).
  •   Plan and monitor SQL Server storage requirements.
  •   Manually associate databases with a web application, merge existing databases, or split existing databases as required.
  •   Plan hardware and software changes to move, migrate or upgrade the farm.

Security:

  •   Ensure service accounts have been set up correctly.
  •   Ensure expiration of service accounts passwords comply with company regulations.
  •   Plan and manage authentication methods to allow for Single Sign-On.
  •   Manage URL’s to be included and excluded from Search results.
  •   Manage lockdown mode to restrict access to anonymous users.
  •   Liaise with AD team for the creation of security groups for leveraging in SharePoint.

System updates:

  •   Plan for and install service packs, hotfixes, updates and patches during off-peak time as required – agree any downtime to stakeholders.
  •   Manage and perform upgrades to licensing when required.

Maintenance / Other :

  •   Ongoing maintenance of web front end and indexing servers.
  •   Maintenance of any features, web parts, templates, solutions or third party installs.
  •   Monitor network issues and escalate to applicable team.
  •   Assist Service Desk with SharePoint support calls they are unable to resolve.
  •   Error identification, investigation and resolution.
  •   Ongoing research to determine SharePoint best practices for scalability and maintenance.

 

Experience

  • Minimum 3 years full-time experience in Microsoft Corporate Applications (like Exchange, BizTalk, Lync, sharepoint)
  • SharePoint Designer experience is a plus.
  • 2-3 years working experience with Windows Server 2008 or above
  • 2-3 years working experience with SQL Server 2005 or above
  • Experienced with IIS 7.0, DNS, Active Directory
  • Experienced with IT operations, data backup and restoration and high availability
  • Experienced with Windows PowerShell and command-line administration
